Direct Billing for Massage Therapy
Making Your Massage Therapy Benefits Easier
At Hands in Demand Therapeutic Massage Clinic, we understand that making the most of your extended health benefits is an important part of your wellness routine. That’s why we offer direct billing to participating insurance providers whenever possible.
Our goal is to make accessing therapeutic massage care as convenient as possible, so you can focus on what matters most: feeling better!
Direct billing allows us to submit eligible massage therapy claims to your insurance provider on your behalf. Depending on your insurance plan, your provider may pay all or part of your treatment fee directly to our clinic, reducing the amount you need to pay at your appointment.
Please note: Direct billing is a courtesy service and is not a guarantee of coverage or payment by your insurance company. All insurance plans are different, and clients are ultimately responsible for the full cost of their appointments, including any amount not paid by their insurer.
How Does Direct Billing Work?
If you have extended health benefits that include massage therapy, we may be able to submit your claim electronically at the time of your appointment.
Here’s how to get started:
1. Check your insurance coverage
Before your appointment, contact your insurance provider to confirm your massage therapy benefits and whether your plan allows direct billing and payment to the clinic.
2. Bring your insurance information
Please have your insurance card or benefit details available. We may require your policy or contract number, group number, member or certificate number, and the policyholder’s name and date of birth.
3. Complete the required paperwork
You may be asked to complete a direct billing consent or assignment of benefits form authorizing us to submit eligible claims on your behalf.
4. We submit your claim
When electronic submission is available, we will submit your eligible massage therapy claim to your insurance provider , if they are a provider we are able to direct bill.
5. Pay any outstanding balance
If your insurance covers the full cost of your treatment, there may be no remaining balance. If your plan covers only part of the appointment, you will be responsible for paying the difference.
What You Need to Know Before Your Appointment
To help avoid unexpected costs, we strongly recommend contacting your insurance provider before your first appointment and whenever your benefits change.
Here are some helpful questions to ask:
- Does my plan cover massage therapy provided by a Registered Massage Therapist (RMT)?
- Does my plan allow electronic direct billing and payment directly to the clinic?
- What is my annual massage therapy maximum?
- Is there a maximum dollar amount per treatment or a limit on the number of visits?
- Is there a deductible, co-payment or percentage of the fee that I must pay?
- Do I need a physician’s referral or prescription?
- Are there any restrictions on which Registered Massage Therapists I can see?
- When do my benefits renew or expire?
- Does my plan require specific information on my receipt or claim?
Please remember that having massage therapy coverage does not necessarily mean that every treatment will be covered in full.
Important Direct Billing Policies
1. Direct Billing Cannot Be Guaranteed
Although we make every effort to submit eligible claims, we cannot guarantee that your insurance company will approve or pay a claim.
A claim may be declined or unavailable for electronic submission for several reasons, including:
- Your plan does not permit direct billing or assignment of benefits.
- Your massage therapy coverage has been exhausted or is not active.
- Your treatment exceeds your plan’s per-visit or annual limits.
- Your insurance provider requires a physician’s referral or prescription that has not been provided.
- Your insurance company requires additional documentation or information.
- The insurer’s electronic billing system is temporarily unavailable.
- The insurance company does not recognize the provider for electronic submission or requires additional provider registration.
If we cannot process your claim at the time of your appointment, you will be required to pay the full appointment fee. We will provide a receipt so you can submit the claim to your insurance provider yourself, where permitted, or discuss alternative submission arrangements with us if available.
2. You Are Responsible for All Unpaid Amounts
Your appointment fee remains your responsibility regardless of whether your insurance company approves, partially pays or declines your claim.
You are responsible for any outstanding balance, including:
- Amounts exceeding your annual or per-visit coverage limits.
- Deductibles, co-payments and co-insurance.
- Services or treatment portions not covered by your plan.
- Claims declined because of eligibility, documentation or policy restrictions.
- Claims paid directly to you rather than to the clinic.
If your insurer does not cover the full cost of your treatment, the remaining amount must be paid by you.
3. Please Bring an Alternative Payment Method
Direct billing systems are operated by third-party insurance providers and may occasionally be unavailable or unable to process a claim.
Please be prepared to pay for your appointment using an accepted payment method if we are unable to complete your direct billing submission. We will explain the situation and any applicable balance at the time of your visit.
If a claim cannot be submitted immediately because of a technical issue, we may be able to submit it later, where permitted by the insurer. Any outstanding amount remains your responsibility.
4. We Cannot Confirm Your Exact Insurance Coverage
Every benefit plan is different. Your insurance provider is the best source of information about your individual coverage, eligibility, limits and remaining balance.
We can submit claims using the information available to us, but we cannot guarantee how much your insurer will reimburse or confirm the exact amount of benefits remaining in your plan.
Please contact your insurer directly if you need confirmation of your coverage before booking or attending an appointment.
5. Physician’s Referrals and Prescriptions
Some insurance providers require a physician’s referral or prescription for massage therapy coverage, while others do not.
It is your responsibility to confirm whether your plan requires this documentation and to obtain it before your appointment if necessary.
Please also ask your insurer whether the referral must be renewed annually or after a specific period.
6. Coordination of Benefits: Spouses and Dependants
If you have coverage through more than one insurance plan, the order in which claims are submitted is important.
For adults with their own coverage: Your own plan generally needs to be billed first. Any eligible remaining amount may then be submitted to your spouse’s plan, subject to that plan’s rules.
For children covered by both parents: The primary plan is generally determined by the applicable coordination-of-benefits rules. In many standard situations, the plan of the parent whose birthday falls earlier in the calendar year is billed first. Exceptions can apply, including certain family and custody arrangements.
Secondary insurance claims: Hands in Demand may not be able to submit claims to a second insurer on your behalf. Availability depends on the insurance providers, their electronic billing rules and our available billing arrangements. You may need to pay the remaining balance and submit the receipt to your secondary insurer yourself.
Please speak with both insurance providers to confirm the correct order of submission and their requirements.
7. Payment Sent Directly to the Plan Member
Not all insurance plans allow payment to be directed to the clinic.
In some cases, an insurer may process an electronically submitted claim but send the reimbursement directly to the policyholder. We cannot override your insurer’s payment rules.
If your insurance company pays you directly, you remain responsible for paying the full appointment fee to Hands in Demand.
Frequently Asked Questions
Can I book a massage if I have insurance coverage?
Absolutely! You are welcome to book your massage therapy appointment whether or not you have insurance coverage. Direct billing is simply an option that may be available to eligible clients.
Does direct billing mean I will not have to pay anything?
Not necessarily. If your plan covers 100% of the eligible treatment fee and the claim is approved and paid directly to the clinic, you may not have an out-of-pocket expense for the covered portion.
If your plan covers only part of the fee, has a deductible or declines the claim, you will be responsible for the remaining amount.
What happens if my claim is declined?
If your claim is declined, you are responsible for the appointment fee. We can provide a receipt and any available claim information to help you follow up with your insurance provider.
Your insurer can explain the reason for the denial and advise whether additional documentation or an appeal is possible.
What if the insurance billing system is down?
If the system is unavailable, we may be unable to submit your claim during your appointment. You may need to pay the full fee and submit the receipt to your insurer yourself. If delayed submission is available and appropriate, we can discuss the options with you.
Can you tell me how much coverage I have left?
We may receive limited information when submitting a claim, but we cannot guarantee access to your current benefit balance or complete policy details. Please contact your insurance provider to confirm your remaining coverage.
eligible amount to your secondary insurer yourself.Do I need a doctor’s note?
That depends on your individual insurance plan. Please confirm this directly with your insurance provider before your appointment.
What if my insurance pays me instead of the clinic?
You are responsible for paying Hands in Demand for your appointment even if your insurer sends the reimbursement directly to you.
Can I use my health spending account?
We can provide a receipt for eligible services so you can inquire about reimbursement through your health spending account or wellness spending account administrator. Reimbursement depends on your plan’s rules, and we cannot guarantee eligibility.
Is direct billing available for every service?
Direct billing eligibility depends on the service provided, the treating practitioner, your insurance policy and the insurer’s electronic billing requirements. Please contact us before your appointment if you are unsure whether your intended service is eligible.
